  • Service Information: Moving origin and destination addresses, inventory details, service dates, special instructions, and any other information you provide related to your move.
  • Payment Information: Credit or debit card details, billing address, and transaction records processed through our secure payment provider (Stripe).
  • Photos and Media: Images of your home, furniture, or belongings that you submit for quote estimation purposes.
  • Communications: Content of emails, text messages, phone calls, and website form submissions you send to us.

1.2 Information Collected Automatically

When you visit our website, we automatically collect:

  • Device and Browser Information: Device type, operating system, browser type and version, screen resolution, and language preferences.
  • Usage Data: Pages visited, time spent on pages, click activity, referring URL, and navigation paths.
  • IP Address and Location: IP address and approximate geographic location derived from it.
  • Cookies and Tracking Technologies: We use cookies, pixels (including Meta/Facebook Pixel), and similar technologies to analyze website traffic, measure advertising effectiveness, and improve our services. You may control cookies through your browser settings.

We may receive information about you from third-party reservation platforms (such as U-Haul), referral partners, and publicly available sources.

  • Generate quotes and estimates, including AI-assisted estimates based on submitted photos (see Section 5).
  • Process payments, issue invoices, and manage billing.
  • Communicate with you about your service, including scheduling confirmations, reminders, updates, and follow-ups via email, SMS, or phone.
  • Send promotional communications about our services (you may opt out at any time).
  • Request reviews and feedback about your experience.
  • Analyze website usage and advertising performance to improve our services.
  • Comply with legal obligations, resolve disputes, and enforce our agreements.

3. Communication and SMS Policy

By providing your phone number and opting into our SMS messaging service, you agree to the following:

  • Types of Messages: We may send transactional messages (scheduling confirmations, crew arrival updates, invoice notifications), operational messages (time-request confirmations, post-move follow-ups), and promotional messages (service offers and reminders).
  • Message Frequency: Message frequency varies based on your service activity. Transactional messages are sent as needed for your scheduled services.
  • Automated Messages: Some messages are sent automatically by our systems (e.g., scheduling confirmations, time requests). Your responses to automated messages may be processed to facilitate workflows such as confirming appointment times.

MESSAGE AND DATA RATES MAY APPLY.

Your mobile carrier may charge fees for sending and receiving text messages, especially if you do not have an unlimited texting or data plan.

Opt-Out: You can opt out of SMS messages at any time by replying STOP or UNSUBSCRIBE to any message, or by contacting us at lubbock@mintmovingco.com or (806) 496-9057. After opting out, you will receive a final confirmation message and we will remove your number from our messaging list within 24 hours. Opting out of promotional messages will not affect transactional messages related to an active service.

4. Communication Tracking

We log and track communications sent to you to ensure reliable delivery and maintain records for business operations:

  • Email Tracking: We record when emails are sent, delivered, opened, clicked, or bounced. This data helps us ensure you receive important communications about your service.
  • SMS Tracking: We log outbound and inbound SMS messages, including delivery status and message content, to maintain accurate records and facilitate service coordination.

5. Artificial Intelligence and Automated Processing

We use artificial intelligence (“AI”) technology to assist with certain business functions:

5.1 AI-Assisted Quote Generation

When you submit photos for a moving estimate, those images may be analyzed by an AI system (provided by Anthropic) to generate recommendations such as estimated labor hours, crew size, and itemized breakdowns. Key details:

  • Photos and relevant job context are sent to the AI system for processing.
  • The AI generates recommendations only; all estimates are reviewed and finalized by our staff before being provided to you.
  • No personal information (your name, address, or contact details) is sent to the AI beyond what may be visible in submitted photos.

5.2 Automated Messaging

Our systems may send automated SMS and email messages for scheduling, reminders, and service follow-ups. If an automated response to your reply cannot be interpreted, the system routes your message to a staff member for manual follow-up.

5.3 Human Oversight

All AI-generated outputs are treated as recommendations. Final decisions regarding your quote, scheduling, and service details are made by our staff. No fully automated decisions with legal or significant financial effects are made without human review.

6. Third-Party Service Providers

We share your information with trusted third-party service providers solely to operate our business and deliver services to you:

  • Stripe: Secure payment processing, invoicing, and transaction management.
  • Twilio: SMS messaging and delivery.
  • Resend: Email delivery and tracking.
  • Anthropic: AI-assisted quote generation from submitted photos.
  • Vercel: Website hosting and infrastructure.
  • DigitalOcean Spaces: Secure file and image storage.
  • Meta (Facebook): Advertising pixel for ad performance measurement.
  • Google: Analytics and advertising services.

Each third-party provider maintains its own privacy policy governing their handling of data. We encourage you to review their policies. We do not sell, rent, or share your personal information with third parties for their own marketing purposes.

7. Data Security

We implement appropriate technical and organizational measures to protect your information, including:

  • Encryption of data in transit using TLS/SSL.
  • Secure payment processing through PCI-compliant providers (Stripe).
  • Role-based access controls limiting employee access to your data on a need-to-know basis.
  • Webhook signature verification for all inbound third-party data.
  • Secure cloud infrastructure through trusted hosting providers.

While we strive to protect your information, no method of transmission over the Internet or method of electronic storage is 100% secure. We cannot guarantee absolute security.

8. Data Retention

We retain your personal information only as long as necessary to fulfill the purposes described in this policy, unless a longer retention period is required by law:

  • Service Records: Job details, invoices, and payment records are retained for 7 years for tax and legal compliance.

  • Quote Data: Quote records and any AI-generated analyses are retained alongside associated service records.
  • Marketing Data: Contact information for marketing purposes is retained until you opt out or request deletion.

  • Correction: Request correction of inaccurate or incomplete personal information.

  • Opt-Out of AI Processing: Request that your photos and data not be processed by AI systems for quote generation.

Terms of Service

Welcome to Mint Moving Company LLC and its subsidiaries (“Mint Moving,” “Company,” “we,” “our,” or “us”). By accessing our website, requesting a quote, scheduling services, or otherwise using our services, you agree to be bound by these Terms of Service (“Terms”). If you do not agree to these Terms, do not use our services.

  1. 1. Services Provided

    Mint Moving provides residential and commercial moving services, storage solutions (if applicable), and related logistics. Our services are offered subject to the availability of resources and personnel and are governed by the terms outlined herein.

  2. 2. Service Agreement

    By scheduling a move or requesting a quote, you represent and warrant that:

    • You are at least 18 years of age and have the legal capacity to enter into a binding agreement.
    • The information you provide, including addresses, inventory, and service requirements, is accurate and complete.
    • You agree to adhere to our policies regarding scheduling, cancellations, and payments as detailed below.
  3. 3. Quotes and Estimates

    • Non-Binding Estimates: Initial quotes are based on the information you supply and are non-binding. Quotes generated with AI assistance (see Privacy Policy Section 5) are estimates only and subject to change.
    • Final Charges: The final invoice will reflect the actual services rendered, including adjustments for additional labor, materials, travel, or time incurred beyond the original estimate.
    • Quote Validity: Quotes are valid for 30 days from the date issued unless otherwise specified.
  4. 4. Payment Terms

    • Full payment is due upon completion of services unless otherwise agreed in writing.
    • We accept cash, credit card, debit card, check, and electronic payment (via Stripe).
    • A processing fee may apply to credit and debit card payments, as disclosed at the time of payment.
    • Late payments may incur interest at the maximum rate permitted by applicable law, plus reasonable collection costs.
    • Deposits, when required, are non-refundable unless cancellation is made in accordance with Section 5.
  5. 5. Cancellation and Rescheduling

    • Cancellation: Cancellations made 48 hours or more in advance of the scheduled service may be eligible for a full refund of any deposits made. Cancellations made within 48 hours may forfeit the deposit.
    • Rescheduling: Rescheduling requests are subject to availability and may incur an additional fee if made within 48 hours of the original service date.
    • No-Show: If you are not present or accessible at the scheduled time and location, and have not communicated a cancellation or reschedule, the full service amount may be charged.
  6. 6. Customer Responsibilities

    To ensure smooth service, you agree to:

    • Provide accurate and complete information about your moving needs, including a thorough inventory of items to be moved.
    • Be present or have an authorized representative available at both the origin and destination during the move.
    • Secure all valuables, fragile items, hazardous materials, and items not intended for transport prior to our arrival.
    • Ensure clear, safe access to the property for our movers, including parking, walkways, elevators, and stairwells.
    • Disclose any conditions that may affect the move, including stairs, long carries, narrow hallways, gated access, or HOA restrictions.
  7. 7. Liability and Damages

    • Standard Liability: Our liability for loss or damage to items during transport is limited to the declared value on the bill of lading, if applicable, or as otherwise agreed in writing. Absent a written declaration of value, liability shall not exceed $0.60 per pound per article.
    • Excluded Items: We are not liable for loss or damage to cash, jewelry, precious metals, securities, documents, medications, perishable goods, or items of extraordinary value unless specifically declared and accepted in writing.
    • Pre-Existing Damage: We are not responsible for damage to items that were in a fragile, worn, or defective condition prior to the move, nor for items improperly packed by the customer.
    • Claims Process: Any claims for loss or damage must be submitted in writing within 3 business days of the move date. Claims submitted after this period may not be honored.
    • Force Majeure: We are not liable for delays, losses, or damages caused by events beyond our reasonable control, including severe weather, natural disasters, road closures, mechanical breakdowns, government actions, or pandemics.
  8. 8. Limitation of Liability

    TO THE MAXIMUM EXTENT PERMITTED BY LAW, MINT MOVING'S TOTAL LIABILITY FOR ANY CLAIM ARISING OUT OF OR RELATED TO OUR SERVICES SHALL NOT EXCEED THE TOTAL AMOUNT PAID BY YOU FOR THE SPECIFIC SERVICE GIVING RISE TO THE CLAIM. IN NO EVENT SHALL WE BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOSS OF PROFITS, DATA, OR GOODWILL.

  9. 9. Communication and Consent

    By contacting us or using our services, you consent to:

    • Receiving communications from us via email, phone, or text message related to your inquiry, scheduled services, and post-service follow-up.
    • Receiving automated transactional messages including scheduling confirmations, crew updates, time requests, and invoice notifications.
    • Being contacted for review or feedback requests following your service.

    You may opt out of promotional communications at any time (see our Privacy Policy Section 3 for details). Transactional messages related to active services cannot be opted out of.

  10. 10. Prohibited Items

    We reserve the right to refuse to transport items that are:

    • Hazardous, flammable, explosive, or corrosive (e.g., propane, gasoline, fireworks, chemicals).
    • Illegal, stolen, or contraband.
    • Perishable goods without proper packaging.
    • Live animals or plants (unless specifically arranged).
  11. 11. Prohibited Activities

    You agree not to:

    • Interfere with or disrupt the operation of our services or website.
    • Use our services for illegal or unauthorized purposes.
    • Submit false, misleading, or fraudulent information.
    • Engage in abusive, threatening, or harassing behavior toward our staff or contractors.
  12. 12. Indemnification

    You agree to indemnify, defend, and hold harmless Mint Moving, its owners, officers, employees, and contractors from any claims, liabilities, damages, losses, and expenses (including reasonable attorney's fees) arising out of or related to: (a) your breach of these Terms; (b) your misuse of our services; (c) inaccurate information you provide; or (d) your violation of any applicable law.

  13. 13. Dispute Resolution

    • Informal Resolution: Before initiating formal proceedings, you agree to contact us to attempt to resolve any dispute informally. We will make good-faith efforts to resolve disputes within 30 days.
    • Arbitration: Any disputes that cannot be resolved informally shall be resolved through binding arbitration in accordance with the rules of the American Arbitration Association (AAA), conducted in Lubbock, Texas.
    • Class Action Waiver: You agree that any dispute resolution proceedings will be conducted only on an individual basis and not as part of a class, consolidated, or representative action.
    • Governing Law: These Terms are governed by the laws of the State of Texas, without regard to conflict of laws principles.

    All content on our website, including text, graphics, logos, images, and software, is the property of Mint Moving Company LLC and is protected by applicable intellectual property laws. You may not reproduce, distribute, modify, or create derivative works from our content without our prior written consent.

  15. 15. Modification of Terms

    We reserve the right to modify these Terms at any time. Updates will be posted on our website with a revised effective date. Continued use of our services after modifications are posted constitutes acceptance of the updated Terms. If we make material changes, we will make reasonable efforts to notify you.

  16. 16. Termination

    We reserve the right to refuse, suspend, or terminate services to any customer at our sole discretion, including but not limited to cases of non-compliance with these Terms, non-payment, abusive behavior toward our staff, or any conduct that we determine poses a risk to the safety of our crew or property.

  17. 17. Severability

    If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect.

  18. 18. Entire Agreement

    These Terms, together with our Privacy Policy, constitute the entire agreement between you and Mint Moving regarding your use of our services. Any prior agreements or understandings, whether written or oral, are superseded by these Terms.
